Globally, women and girls are hit hardest by climate change and the lack of safe drinking water and toilets. For a quarter of the world's population, access to water, toilets and hygiene is still far from a given, especially as climate change increases the problem. Especially for girls and women.
Simavi is an independent international non-profit organization that works with partners in 10 countries in Africa and Asia on programmes that support local solutions so women and girls can enjoy their human rights to water, a toilet and equal treatment.
How do we work?
Simavi is a (small /medium sized) Netherlands based international NGO working in the specialist areas of human rights to water and sanitation, gender equality and climate justice. Our objective is that every woman and girl in a climate vulnerable context overcomes barriers to claim her rights to water and sanitation and is able to enjoy these rights.
We put women and girls at the center of our work and we collaborate with partner organisations world-wide to create impact through our programmes and advocacy and campaigns. We currently work in 10 countries in Africa and Asia. And we have teams based in Bangladesh, Nepal, Uganda, Kenya, and the Netherlands. The Team
The executive assistant is reporting to the Managing Director. You work closely with the Director Finance and Operations and other Cluster leads. You also collaborate with the other assistants in the organisation.
Your role at Simavi
In this role, you will be performing secretarial, administrative and organisational support for the Managing Director, the Cluster Leads and the Supervisory Board.
Your result areas
1. Agenda Management and meeting coordination
- Schedules meetings for the Managing Director, Board and Supervisory Board, monitors and manages the agendas, ensures follow-up on agreements made
- Ensures the Managing Director is informed about organisational planning and matters
- Offers organisational support by organising and coordinating organisation-wide sessions and events ( Eg. Plenaries, Onboarding sessions, etc.)
- Facilitate Cluster Leads’ meetings, the Annual Planning meetings and the Management Midterm Review meetings
- Organise overall annual planning and plan organisation-wide meetings in Employees’ calender
2. Drafting and processing correspondence and documents
- Processes correspondence and other documents of substantive nature if requested
- Maintains and facilitates communication with external contacts on behalf of the Managing Director
- Assesses incoming (digital) mail/documents on the importance for the Managing Director/Board/Supervisory Board regarding decision making or consultation and handles this independently
3. Facilitating work processes
- Takes minutes in meetings and follow up on action list with relevant stakeholders
- Offers administrative and procedural support and monitors the execution of decisions and progress of the Executive Board, Supervisory Board, Employee Representation Board and Cluster Leads on action points decided during meetings
- Performs confidential archive work and keeps file of Executive Board and Supervisory Board
- Provides, if relevant, substantive instructions to employees regarding secretarial, administrative and organisational support)
- Supports other assistants on an ad-hoc basis if needed
What you bring
- HBO level of education
- A minimum of 3 years of working experience in a similar position
- Strong affinity with Simavi’s mission and vision
- Experience in minute taking, writing reports and setting up meeting agenda's
- Experience in facilitating and hosting meetings
- Administrative skills, well organised, strict with deadlines and keeping structure and overview
- Excellent Knowledge of Microsoft 365.
- Excellent verbal, reading and writing skills in English. Dutch is a plus

We offer a contract for 1 year for 32 hours per week with possible extension. The salary we offer depends on the years of working experience you bring along and will be within the salary range of € 2.771,99 to € 3.849,30- gross per month on a fulltime basis of 36 hours per week. The position in the salary scale depends on the number of relevant years of working experience. Furthermore, part of our terms of employment are: 5 weeks vacation per year, 8% holiday allowance, commuting allowance (as of the first kilometre), a pension insurance and a disability insurance.
Our office is located at Naritaweg 135, which is a 5 minutes’ walk from train station Amsterdam Sloterdijk. We also work hybrid, with the possibility to work 2 days in the office, and the rest from home.
